The challenge

Replace the in-house portal without adding operations headcount.

For many years EZOPS relied on an internally developed legacy application to distribute software releases. “Maintaining the system took a lot of time away from the core product. Every time I wanted an enhancement, we had to steal engineers away from delivery,” explains Jim Zucker, CTO at EZOPS.

A key requirement for the replacement was ease of use and extremely low maintenance overhead, so the development team could focus on core products. EZOPS also wanted detailed logging of customer access to downloads so licensing entitlements could be audited and accurately tracked.

The requirement

A platform-as-a-service model with no servers to manage, entitlement-aware access, download auditing, and a frictionless experience inside the existing Zendesk support portal.

The solution

Zendesk Guide for content, SendSafely for the files

In June 2019, EZOPS launched a new web-based software distribution portal built on Zendesk Guide for content management and entitlements, and SendSafely for secure access to downloads. The solution required no custom development.

  1. Step 01
    Authenticated Access

    Customers authenticate through Zendesk and browse a customized list of release and support articles based on their specific licensing and subscription levels — with familiar EZOPS branding and a consistent workflow.

  2. Step 02
    Secure Distribution

    Each product has its own Guide article with a download link into a SendSafely Workspace where the files are securely stored. The integration synchronizes entitlements between the two systems, so users only download the products they are contracted for.

  3. Step 03
    Audit and Notify

    All customer access and download activity is logged in SendSafely for review and audit by EZOPS administrators. Customers subscribe to an activity feed within each Workspace and are notified automatically when new downloads are published.
